Closed Event

Closed events allow two options: either you participate, or you do not participate.
For example, you can announce your statutory meeting and everybody from your club has to select if he is joining and can add a comment why he is not joining, or which topic he wants to be discussed during the meeting.

Create a closed event:

  1. Switch to admin mode
  2. Select “activities” from the left menu and click on “add activity”
  3. Select “closed activity”
  4. Insert a name
  5. Add a cover picture (if needed)
  6. Select the activity type (lower section of the main frame)
  7. Select other options (e. g. limitation of seats)
  8. Add a location (re-use an existing location if needed)
  9. Start of the event
  10. End of the event
  11. Start of the registration phase
  12. Deadline for registration
  13. In case the event is not free, add an amount of money
  14. Next

Sharing:

1. Sharing options: please think about twice, if you want to advertise your event on the big stage, or if it is enough to share within your club/district.

Depending on your selection, only your club can see the event, or in the other extreme, it will be published to RTI (a statutory meeting is no AGM)

  1. Everybody who is invited, can also register for the event
  2. Invite: here you can add distribution lists as you need
  3. Next

Reminder:

  1. Select a reminder pattern. As a standard the pattern “default” is selected.

You can create additional pattern under advanced settings

  1. Depending on the selected reminder pattern, all invitees (see “sharing”) will get invitation- and reminder-mails.
  2. Finish
