Terminating/Ending a membership

Introduction

Every year we see our fellow Tablers leave Round Table for multiple reasons. From leaving due to age restrictions, voluntary leaving or being kicked out in some cases.

Here we will explain how to handle these cases.

Using the termination module

On the user profile page located in the Groups and function section (red box) there is an icon with a person and a small x by it’s side. Clicking this will open up the termination module window. You can write an optional message explaining the reason and have options to send emails to both the user and president. By selecting no there will be no email send. The type you can choose from:

  • Convert to Past Member. Use this option if the member has reached the age limit or leaves voluntary. It will end the Member function and add a Past Member function with no end date. Also change the status (Field in “Personal Information”) from Active to Past Member
  • Exclusion. Use this if the user has been kicked out involuntary. It will end the Member function but skip the Past Member function. Also the status will change to Exclusion

After the module has run please look over the profile page. It should have updated it least after some minutes. The synched profiles on the other levels will be synched after latest 3 hours.
In case the status (field under Personal information section – see image on top) is not correct you can change it manually by clicking on the pen icon and change it from the drop down menu. The options that are relevant for this purpose are as follows:

  • Active. Member is considered an active member
  • Suspended. The member is suspended
  • Regular Former Member. The member left voluntary or due to reaching the age limitation
  • Resigned. The member left before reaching the age limit
  • Expulsed  (blacklisted). The member left involuntary for special reasons

There is no specific pattern on how to use the statuses. It’s a decision you need to make in your club or decided by the association.

Doing it more manually*

If you do want to do this manually you need to do it in the following steps:

  1. Terminate the Member function by editing it and setting an end date
  2. Set a Past Member function to the user and assigning it to start the day after the member function ends
  3. Change the status of the user by clicking the pen by Personal information.

*Note: doing it more manual is not recommended because the national board will not receive an email  that a Tabler has been resigned or was suspended and the manual workflow is error-prone

For admins

Settings

On National level, admins can configure the following things via Admin > Settings > Membership > Membership termination

When an admin on any level uses the Termination module then an email is send to the selected functions inside my association box and to the emails in following email addresses box.

You can add extra email adres with a comma between the email addresses “, “.

Membership termination automatic

You can also select the automatic termination then when a Tabler becomes 40 and at the beginning of the statutory year he will become automatic a past member. There is an date to see when this will happen in your association.
